AI quoting for distributors: from a parts list to a quote you approve

Your customers send requests for quote in every shape: a PDF, a spreadsheet, a photo of a handwritten list. This system reads it, matches each line to your catalog, applies that customer's pricing and hands you a draft. It is in pilot, and nothing goes out until you approve it.

What this looks like today

A request for quote lands in the inbox with forty lines written in the customer's own words. Someone on your team retypes it, looks up each part, checks which price list applies and builds the quote by hand.

That takes hours on a good day, and the request waits behind other work. Meanwhile the customer has sent the same list to a competitor, and the first clean quote often wins.

How the system handles it

  1. 01

    The request arrives

An email comes in with a PDF, a spreadsheet or a photo of a list. Nothing has to be retyped.

  2. 02

    It reads every line

Part numbers, descriptions and quantities are pulled out, even when the list is messy. For example, a line like "PRV 3/4 (the usual)" is still read as a pressure valve.

  3. 03

It matches each line to your catalog

Every line is matched to a SKU. When two products could fit, both are shown so a person picks the right one.

  4. 04

    It applies the customer's pricing

Their price list, volume breaks and terms come from your system, not from a guess.

  5. 05

    You approve and send

You see the draft with every match and price, change anything, and send it with one click.

  6. 06

The quote goes out and gets followed up

The quote is sent as a PDF in your template, and a follow-up is scheduled if the customer does not answer.

What you approve

  • Every quote. The system drafts it, and only you send it.
  • Lines with more than one possible match. You choose the product, the system does not pick for you.
  • Any discount above the limit you set waits for your yes.
  • Prices below your floor are never quoted. That rule lives in code, outside the model.

What it connects to

  • Your ERP or catalog
  • Your price lists
